The Nelson Mandela Foundation is seeking to appoint a passionate and experienced freelance events coordinator to oversee all events of the Foundation including its flagship event, The Nelson Mandela Annual Lecture.

Responsibilities

  • Conceptualise and organise all events, conferences and seminars from start to finish according to requirements, target audience and objectives
  • Create execution plans and guidelines for all internal and external events
  • Identify appropriate service providers together with procurement, for communications and marketing HODs’ approval
  • Be the point of contact for suppliers, venues and the fundraising team
  • Manage the budget process (target cost vs actual cost) together with the HOD

  • Develop themes for events’ look and feel together with service providers
  • Provide comprehensive direction for events while working with different departments and external clients
  • Delegate workflows and deadlines as well as tasks to the communications and/or marketing coordinator and facilities team
  • Alert internal stakeholders of upcoming events by regularly updating the events calendar
  • Guest relations: ensure event invitations are designed and sent to relevant invitees and continually follow up on attendance
  • Ensure that all logistics are in place for events (venue, catering, sound)
  • Develop and manage the agenda/programme
  • Coordinate the event on the day of the event
  • Manage post-event debriefs internally
  • Analyse the success of the events and report monthly on outcomes of eventing activities

Education and Experience

  • Matric and relevant diploma/degree in hospitality, communications, public relations or event management
  • More than eight years’ experience in managing events
  • Hard worker willing to work long hours
  • Confident in coordinating multiple teams before and during events
